What is important in a business relocation?

In a business relocation, you will pay attention to the suitability of the new location. Is it close to customers and suppliers, what is the accessibility, what is the reputation of the neighborhood? The infrastructure of the location is important: parking spaces, elevators, meeting rooms, internet. And the contractual aspect must be well arranged in a solid lease agreement. When it comes to the actual business relocation, a few things come to the fore.


  • Costs Is the relocation financially feasible? Especially when it comes to a larger project, costs will increase. How can we keep them under control?
  • Business operations The show must go on! If there's no production, there's no earnings. Every hour or day that the business unnecessarily comes to a halt is a waste. How do we strike the balance between an efficient relocation and the necessity to keep the business running?
  • Employee engagement Change is not something many people look forward to. By involving your employees in the process, change becomes easier to accept. This can be done by, for example, packing and labeling your own workspace to ensure that everything returns to the new location just as it was.

How does the relocation process of a business move look like?

When it comes to 2 desks, computers, a printer, and a plant, we can do the planning over the phone. Perhaps you only need a small moving van with 1 mover. If it involves multiple workstations, then more is required from our organization. In such a case, we'd be happy to visit you in advance for an inventory check.

Our project manager will visit to discuss your requirements. We'll talk about what you want to handle yourselves and what you want to outsource. It's advisable to designate one person within your organization as responsible for the move.

A drawing is needed indicating where the workstations and other inventory will be placed. The inventory must then be labeled accordingly. Once everything is labeled and there's a floor plan showing where everything will go, it makes it easy for our movers to work. This improves efficiency and helps control moving costs.

Perhaps it's time to say goodbye to some old items. We'll ensure that they are disposed of properly, either by donating them to a thrift store or taking them to the landfill.

Desks, cabinets, and conference tables sometimes need to be disassembled. Computers need to be disconnected and then reconnected.

We're considering smart logistics. Are there multiple entrances? Can we work through the window? How do we optimize the use of the elevator? What tools are needed such as threshold ramps and rolling equipment? Do we need a moving lift or crane? Are there fragile furniture pieces that need special packing by us?

We also consider the balance between an efficient moving process and the disruption to your business operations. Moving over the weekend usually doesn't disrupt the business process, but it comes with higher moving costs due to collective labor agreement (CAO) surcharges. Moving in one day instead of over multiple days also causes little disruption, but often doesn't optimize efficiency, which again leads to higher moving costs. So, the question is always what the best approach is.

Our experience with business relocations.

One of the biggest challenges we faced was the relocation of a 60-workstation office. The location it originated from had only one small elevator. It was crucial to optimize the use of this elevator to keep the workflow going continuously. At the same time, we deployed a moving lift to load larger objects from outside. At the new location, we used 2 moving lifts with operators to get the inventory to the third floor. It involved an extensive office inventory from an advertising agency with enormous, heavy conference tables for which we used a crane. This crane hoisted the 250-kilo tables over the building to the rooftop terrace.

Prior to the relocation, we conducted multiple visits, and our project manager developed a plan of action. A floor plan was available for the new location, and everything was labeled so that it could be placed in the right spot at once. Assistance was provided to connect all IT equipment, so work could resume the next day. Within one day, the most important aspects of the business relocation were completed, with minimal disruption to business operations.
